From manual to modern

Latin American Tours, a tour operator specialising in Central and South American destinations, underwent a significant digital transformation by adopting Nezasa’s TripBuilder. This change marked a shift from traditional, manual processes to a more efficient and dynamic system, revolutionising how they operate and interact with clients.
We catched up with their team after two years, to understand what changed, how they handled the post-pandemic concerns and where they are now.

Before implementing TripBuilder

Latin American Tours relied heavily on manual processes, including spreadsheets and email quotations. This method was labour-intensive and time-consuming. Alessandra Rüfenacht, Managing Director, explained, “We moved from really hand-made work and email quotation to a system like this.”

One of the most significant benefits of TripBuilder has been the improvement in operational efficiency. Alessandra noted, “it’s important that we have time to call our clients. So if it’s going to be easy to quote a nice trip, it’s the future.” By automating the planning process, TripBuilder has freed up valuable time for the team, allowing them to focus more on client interactions and personalised service, driving higher value to their trips.

The tool has also enhanced the client experience by making trip planning more interactive and flexible. “We use TripBuilder as a planning and booking tool. Also an inspiration tool for our customers where they can move around, explore, change their hotels, adapt their round trips,” Alessandra said. This dynamic capability enables clients to customise their trips in real-time, creating a more engaging and tailored experience.

Scalability and growth

The adoption of TripBuilder has also facilitated growth and scalability for Latin American Tours. During the pandemic, the company managed to maintain its operations with a smaller team. As travel resumed, they found the need to expand their team to support their growth, also thanks to the efficiencies gained from the new system. Alessandra highlighted this stating, “We managed the pandemic with a small team, and now we’re to end this year adding more members to the team. Because we are growing so much.”

One of the standout features of Nezasa’s TripBuilder is how seamlessly it integrates into the daily operations of Latin American Tours. The tool has become so integral to their processes that it is now used by nearly every team member, significantly enhancing overall efficiency and productivity.

Alessandra Rüfenacht emphasised the importance of TripBuilder in their day-to-day activities: “Everyone uses it except for the accounting department. We don’t have another system; this is our system. We work every day with TripBuilder, using it for more than 50 or 60% of our time.” This level of integration indicates that TripBuilder is not just a supplementary tool but a central component of their operational framework.

By consolidating various functions into a single platform, TripBuilder eliminates the need for multiple disparate systems, reducing complexity and improving workflow.
